These Terms of Service ("Terms") are a legal agreement between FlowLeads Limited ("FlowLeads", "we", "us") and the clinic or business ("you", "Client") accessing or using the FlowLeads platform.
By creating an account, starting a free trial, or using the service in any way, you confirm that you have read and agree to these Terms. If you are signing up on behalf of a business, you represent that you have the authority to bind that business to these Terms.
FlowLeads provides an AI-powered virtual receptionist service ("Aria") that answers inbound phone calls, screens callers, and books appointments on behalf of allied health clinics. The service includes:
We reserve the right to update, modify, or discontinue features with reasonable notice. We will not materially reduce core functionality without giving you the opportunity to exit your subscription.
New clients receive a 14-day free trial commencing from the date their account is activated. No payment is required during the trial period. At the end of the trial, your subscription will commence at the plan you selected unless you cancel before the trial ends.
Subscription fees are charged at the rate specified at the time of signup. Current pricing is displayed on our website and in your account. All prices are in New Zealand Dollars (NZD) and are subject to GST where applicable.
Subscriptions are billed monthly in advance. Your billing date is set on the day your paid subscription commences after the free trial. Payments are processed via Stripe.
If a payment fails, we will retry up to three times over seven days and notify you by email. If payment remains outstanding after seven days, we may suspend access to the service until the account is brought current.
We may change subscription pricing with 30 days' written notice. You may cancel before the new pricing takes effect if you do not wish to continue at the new rate.
You may cancel your subscription at any time from your account settings or by emailing [email protected]. Cancellation takes effect at the end of the current billing period. No refunds are issued for unused portions of a billing period.
We may suspend or terminate your account immediately if:
Upon termination, your access to the platform will cease. We will retain call data for 30 days to allow you to request an export, after which it will be permanently deleted.

You own your data. FlowLeads processes call data on your behalf and does not claim any ownership over it. We will not use your clinic's patient data or call transcripts for any purpose other than providing the service to you.
By using the service, you grant FlowLeads a limited licence to process your data solely for the purpose of delivering the FlowLeads service to you.
The FlowLeads platform, brand, software, and all associated intellectual property remain the exclusive property of FlowLeads Limited. Nothing in these Terms grants you any ownership or licence to our intellectual property beyond the right to use the service as described herein.
Both parties agree to keep confidential any proprietary or sensitive information disclosed by the other party in connection with the service, and not to disclose such information to third parties without prior written consent, except as required by law.
The FlowLeads service is provided "as is." While we aim for high availability and accuracy, we make no warranty that the service will be uninterrupted, error-free, or that Aria will capture every call perfectly. The service is a virtual receptionist tool — it does not provide medical advice, clinical assessment, or replace clinical judgment.
To the maximum extent permitted by NZ law, FlowLeads' total liability to you for any claim arising from these Terms or your use of the service is limited to the fees you paid in the three months preceding the claim.
FlowLeads is not liable for any indirect, consequential, incidental, or punitive damages, including lost revenue, missed appointments, or data loss arising from service interruptions.
These Terms are governed by the laws of New Zealand. Any disputes will be subject to the exclusive jurisdiction of the New Zealand courts.
We may update these Terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of the service after that date constitutes acceptance of the updated Terms.
